The client was operating the distribution process to the supply teachers through schools by the usage of papers. Thereby many challenges associated with that kind of process occurred such as having massive data losses, nearly not reporting facility and most cumbersome processes were used in providing training for new employees within a booking area and payroll.
It is thus difficult to find a better efficiency in the manual matching up available bookings with the teacher. The payroll-related processes were divided among a number of different third-party software solutions, thus decentralizing payroll.
Such challenges notwithstanding, the client needed a bespoke software solution that fitted their business model. The solution was to not only automate these processes but also smoothen them up, extending this functionality toward strong reporting and ease of use. The client wanted to enable teachers and schools to securely access their information via customised login portals
Our Solution:
These needs led to our developing a teacher management portal, focused on increasing the efficiency and accessibility of operations for our client by an order of magnitude. This given software solution features several key pieces in its quest to change its business model:
Automation of Processes: Confirmation emails and checks regarding security are automated through the system itself. Since the system keeps notifications of teachers, operations become easier to handle and hence lessen the administrative burden by averting redundant manual tasks.Advanced search algorithm implemented, which automated the checking for the availability of the teacher and matching them against opened bookings. This takes away from the workflow much manual work and frees the staff up for more strategic activities.
Smooth integration with payroll and invoicing via Sage: The new system will interface smoothly with Sage at payroll and invoicing, providing an end-to-end workflow, leveraging familiarity in the processes. This will eliminate error-prone methods of data transfer, such as copying and pasting information into spreadsheets.
Web-Based Accessibility: The solution is hosted on a secure, web-based platform, meaning the system can easily be accessed from anywhere and at any time. It allows flexibility in the daily workflow and greatly enhances collaboration among staff, teachers, and schools.
