Kids Aid had kept all of their registrations, cases, etc., in an Excel-based application. However, the process lacked overall efficiency due to some intrinsic deficiencies in the use of Excel, like the need to pass files around the department so that everyone was on the same page. What's more, the crude separation between the different elements in their system hindered their potential. Thus, Kids Aid understood the need to build a customised CRM solution that could solve these problems.
Our Solution:
To meet the needs of Kids Aid, we developed a tailored CRM system designed exclusively to fit their nature of operations. This bespoke software allows all referrals to be sent directly via their website and then automatically exported into their case management system. The integration then enables them to manage all their cases effectively, such as assigning therapists for therapy interventions, uploading pertinent documents.
The system also enables effective scheduling of therapists for different children without overlapping sessions. Once a child is scheduled, session details can be easily inputted by therapists, allowing for comprehensive record-keeping and better session management.
In addition to case management, we implemented a module that separates the fundraising activities of the users. The module helps centralise existing and previous fundraising activities so that management and monitoring would be easier and more efficient.
All in all, the specific CRM system empowers the Kids Aid team to work with much greater efficiency, reducing significantly the time by which it would take to manage the operations, thus focusing more on charitable work with children and therapists.
